To provide high level administrative support at an executive level ensure internal and external stakeholder satisfaction of the CEO's office


Job Description


  • Detailed oriented, comfortable working in a high-pressure environment with tight deadlines and displaying the confidence to get things done in a timely manner with excellent and consistent follow-through and ensure effective office management including CEO office security, cleaning, waste disposal, air conditioning, office supplies, etc.

  • Strong focus on system and procedure improvements in the CEO office. Identify areas requiring improvement, develop project recommendations to Group CEO and implement projects.

  • Follow up managers reports or ongoing business negotiations as per instruction

  • Manage the day-to-day performance and development of the Receptionist/Administration Support Employees.

  • Manage the Group CEO’s calendar efficiently, schedule a high volume of meetings and appointments, manage an ever-changing business/personal Outlook calendar and complex schedules to ensure effective time management.

  • Keep the Group CEO up to date about important ongoing matters.

  • Makes travel arrangements for the Group CEO as required, including booking flights, hotel accommodation, car rental, and providing directions to facilitate hassle-free travel.

  •  Manage the internal budget tracking of CEO Office.

  • Plan, organize and coordinate the administrative aspects of the Group CEO’s office functions which include facility services, filtering all incoming phone calls, emails and in-person inquiries providing general information and referring inquiries to appropriate sources based on priorities, procedures, protocols, and personnel for smooth daily operation. Take, type and distribute minutes of the meetings

  • Liaison with external/internal contacts & manage office space. Implemented new methods to improve efficiency.

  • Proactively create and maintain effective workflow and communications to accomplish the work of the Group CEO which includes the handling of a variety of tasks simultaneously

  • Assisting with the identification of suitable strategic business opportunities

  • Collating and updating data for monitoring of the work pipeline

  • Exposure to high-level confidential office and client data
